Flexible Plan

Security

You don’t need to worry about your files being compromised with Google Drive, as all your data is encrypted and stored in Google’s secure data centers, with HTTPS enabled by default. All files you store on Google Drive are private unless you share them with others—and if you happen to lose one of your devices, you can still access your files from another device. As an additional security precaution, you can set up two-factor Gmail authentication, since Drive is tied to your account.

Real-Time Collaboration

With Google Drive, you can share documents with others and collaborate on them in real time. That way, you no longer have to send files back and forth as attachments.
Getting Started with Google Drive

First, visit the Google Drive landing page and click on Go to Google Drive. You’ll be taken to a dashboard that looks something like this:

The left-hand navigation offers the following options:

From here, you can:

  • Create or upload new files.
  • Log in to other computers on your network.
  • Open shared, recently viewed, or starred files.
  • Check or empty the Trash.
  • Manage your Google Drive storage.

Creating a New Item

When you click the New button, you’ll see a drop-down list of items that can be created or uploaded.

You can:

  • Create a new folder.
  • Upload a file.
  • Upload a folder.
  • Create a new Google Doc.
  • Create a new Google Sheet.
  • Create a new Google Slide stack.

In addition, you can use the following apps by selecting More from the drop down:

Searching for Files

Once you’ve accumulated hundreds or even thousands of files, it may be difficult to find what you need manually. But with the convenient search bar at the top, you can easily locate the files you need:

If you need to conduct a more advanced search, click the down arrow in the search bar to open the following user interface:

You can search files by:

  • Type
  • Owner
  • Location
  • Date modified
  • Word(s) in the file title
  • Word(s) in the file itself
  • People with whom they’re shared
  • The type of items you can follow up on are:

Google Drive Dashboard

The main panel in the center of the page shows folders and files that are stored on your Drive. The example below shows the files and folders in the Thumbnail view, which shows images or the first page of documents along with the file names.

By clicking the View icon in the top-right corner of the page, you can toggle List view as shown below:

This shows additional information, such as the file owner, date of last modification, and size.

When you select a file in either view, you can view all important information about it in the Details tab. In the Activity tab, you can view the history of the file.

Managing Files

There are many actions you can take to manage your files. Click the vertical ellipsis button (kebab) in the top-right navigation to see them:

Here, you can:

  • Open a file with a native app or connect with other apps
  • Move a file or folder
  • Star a file (adding it to the Starred folder)
  • Rename a file or folder
  • Manage versions of the file
  • Make a copy of a file or folder
  • Download a file or folder

If you need more room to view files, you can click the “X” in the right panel to close it.

From an enterprise standpoint, Google Drive is a powerful cloud storage platform that allows individuals of an organization to create, upload, edit, and collaborate on files in real time. Since it is on the cloud, it allows individuals to access those files from any location and with a variety of devices such as PCs, laptops, smart phones, and tablets.
