Also, activities can be included in reports.<\/span><\/p>\n<h2>What are the Different Types of Activities?<\/h2>\n<h4>There are several different activity types that can be carried out in Dynamics 365.The common ones include:<\/h4>\n<ul>\n<li>\n<h5>Phone call<\/h5>\n<\/li>\n<\/ul>\n<p><strong>A phone call activity deals with all details of calls made regarding a record of an entity. Calls can be either inbound or outbound.<\/strong> For instance, a customer may call to make an inquiry or you may call a customer about an opportunity.<\/p>\n<ul>\n<li>\n<h5>Email<\/h5>\n<\/li>\n<\/ul>\n<p><strong>Email activities<\/strong>, just like phone call activities, <strong>consists of emails sent and received about a record. This type of activity is used to track email messages on CRM.<\/strong><\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"size-full wp-image-10154 alignright\" src=\"https:\/\/www.sherweb.com\/blog\/wp-content\/uploads\/Add_activities_in_Dynamics_CRM.png\" alt=\"Add_activities_in_Dynamics_CRM\" width=\"684\" height=\"327\" srcset=\"\/blog\/wp-content\/uploads\/Add_activities_in_Dynamics_CRM.png 684w, \/blog\/wp-content\/uploads\/Add_activities_in_Dynamics_CRM-300x143.png 300w, \/blog\/wp-content\/uploads\/Add_activities_in_Dynamics_CRM-600x287.png 600w\" sizes=\"auto, (max-width: 684px) 100vw, 684px\" \/><\/p>\n<ul>\n<li>\n<h5>Task<\/h5>\n<\/li>\n<\/ul>\n<p>This <strong>deals with actions taken pertaining to a record<\/strong>. <strong>It<\/strong> <strong>helps to manage workload<\/strong> by keeping track of what has been done and what needs to be done.<\/p>\n<ul>\n<li>\n<h5>Appointments<\/h5>\n<\/li>\n<\/ul>\n<p><strong>These help to track meeting schedules with a customer<\/strong>, including both physical meeting and calls.<\/p>\n<ul>\n<li>\n<h5>Campaign responses<\/h5>\n<\/li>\n<\/ul>\n<p><strong>These are activities created by responses received through marketing campaigns.<\/strong><\/p>\n<ul>\n<li>\n<h5>Service Activity<\/h5>\n<\/li>\n<\/ul>\n<p>After configuring resources, sites, services or equipment, the <strong>service activity is used to schedule them to run when needed. Schedule can either be done manually or automatically using a Service Scheduler.<\/strong><\/p>\n<ul>\n<li>\n<h5>Custom Activity<\/h5>\n<\/li>\n<\/ul>\n<p><strong>This type of activity is created to monitor a particular event that is not available by default in Dynamics 365.<\/strong> Custom activities are created for actions that are usually time-related, such as duration, start time, and end\u00a0time.<\/p>\n<p>Examples of custom activities that we can have include meetings, milestones, and project work. When creating a custom entity you can specify that the entity is an activity by checking <b>Define as an Activity Entity<\/b>.<img loading=\"lazy\" decoding=\"async\" class=\"size-full wp-image-10152 aligncenter\" src=\"https:\/\/www.sherweb.com\/blog\/wp-content\/uploads\/clip_image001_thumb.png\" alt=\"Activity in Dynamics 365\" width=\"516\" height=\"365\" srcset=\"\/blog\/wp-content\/uploads\/clip_image001_thumb.png 516w, \/blog\/wp-content\/uploads\/clip_image001_thumb-300x212.png 300w\" sizes=\"auto, (max-width: 516px) 100vw, 516px\" \/><br \/>\nOther activity types include fax, letter, campaign activity, reoccurring appointment, and social activity.<\/p>\n<h2>Activity Status<\/h2>\n<h3>An activity can exist in any of four states:<\/h3>\n<h5>Opened<\/h5>\n<p>When an activity is created, it is assigned the status of \u201copen.\u201d <strong>This indicates that the activity is yet to take place.<\/strong><\/p>\n<h5>Completed<\/h5>\n<p>An activity with a \u201ccompleted\u201d status means that the <strong>activity has occurred and the activity closed.<\/strong><\/p>\n<h5>Canceled<\/h5>\n<p><strong>If an activity is open and, for some reason, it cannot be completed, the activity can then be canceled and assigned a status of \u201ccanceled.\u201d<\/strong><\/p>\n<h5>Scheduled<\/h5>\n<p><strong>When an activity is scheduled like an appointment, it is given the status \u201cscheduled.\u201d<\/strong><\/p>\n<h6><i>Note: Completed and canceled activities are read-only and can&#8217;t be edited.\u00a0<\/i><\/h6>\n<h2>Viewing an Activity<\/h2>\n<p>Depending on the privileges granted to you, you can either view activities assigned to you by default and also additional activities shared with you based on your role.<strong> The activity views allow you to show all activities for a record, despite the activities being different types.<\/strong><\/p>\n<h3>Creating Activity in Dynamics 365<\/h3>\n<h5>An activity can be created in three ways:<\/h5>\n<ol>\n<li>Within a record under activities area.<\/li>\n<li>From the <b>Activities <\/b>section, select the task you want to create.<\/li>\n<li>From <b>Dashboard<\/b>.<\/li>\n<\/ol>\n<h3>Converting an Activity<\/h3>\n<p><strong>An activity can be converted into another entity, depending on the status and type.<\/strong> For example, an email can be converted to a case, opportunity, or lead.<\/p>\n<h3>Closing an Activity<\/h3>\n<p><strong>Closing an activity is done manually and it is marked as \u201ccompleted\u201d.<\/strong> When the status changes to \u201ccompleted,\u201d the activity becomes read-only and is not editable.<strong> It is<\/strong>, however,<strong> possible to close an activity automatically with a workflow<\/strong>.<br \/>\n<img loading=\"lazy\" decoding=\"async\" class=\" wp-image-10153 aligncenter\" src=\"https:\/\/www.sherweb.com\/blog\/wp-content\/uploads\/CRM-2013-New-Phone-Call2.png\" alt=\"Activity Detains in Dynamics 365\" width=\"362\" height=\"421\" \/><\/p>\n<h2>Activity Versus Note in Dynamics 365<\/h2>\n<p>Users are in the habit of using note to quickly specify actions done on a record. However, this is very wrong. <strong>Any activity carried out on a record should be properly saved under the right activity type<\/strong>.
