But have you ever explored its scheduling and calendar functions?<\/p>\n<p>&nbsp;<\/p>\n<h3><a href=\"https:\/\/info.sherweb.com\/m365-business-transformation.html\" target=\"_blank\" rel=\"noopener noreferrer\">Learn how to transform your MSP and your clients\u2019 businesses with Microsoft 365<\/a><\/h3>\n<p>&nbsp;<\/p>\n<p>In Outlook\u2019s <strong>Home <\/strong>tab, select the <em>arrow <\/em>beside the <strong>New Email<\/strong> menu (if you select <strong>New Email,<\/strong> you will get the new email dialog). Select a new Appointment or Meeting from the drop-down list.<\/p>\n<p>&nbsp;<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"wp-image-21228 aligncenter\" src=\"https:\/\/www.sherweb.com\/blog\/wp-content\/uploads\/Picture1-300x218.png\" alt=\"\" width=\"407\" height=\"296\" srcset=\"\/blog\/wp-content\/uploads\/Picture1-300x218.png 300w, \/blog\/wp-content\/uploads\/Picture1.png 647w\" sizes=\"auto, (max-width: 407px) 100vw, 407px\" \/><\/p>\n<p>&nbsp;<\/p>\n<p>Appointments and meetings are very similar, so we will use an appointment as an example.<\/p>\n<p>1. Select <strong>Appointment<\/strong> from the menu.<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"wp-image-21203 aligncenter\" src=\"https:\/\/www.sherweb.com\/blog\/wp-content\/uploads\/Appointement-creation-300x126.png\" alt=\"\" width=\"452\" height=\"190\" srcset=\"\/blog\/wp-content\/uploads\/Appointement-creation-300x126.png 300w, \/blog\/wp-content\/uploads\/Appointement-creation-1024x430.png 1024w, \/blog\/wp-content\/uploads\/Appointement-creation-768x323.png 768w, \/blog\/wp-content\/uploads\/Appointement-creation.png 1276w\" sizes=\"auto, (max-width: 452px) 100vw, 452px\" \/><\/p>\n<p>&nbsp;<\/p>\n<p>2. You can enter a lot of detail here, such as a title, time and date, location, whether it is an all-day appointment, and whether you want the appointment to recur in the future.<\/p>\n<p>And that\u2019s just for starters! Take a look at the Appointment ribbon:<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"wp-image-21204 aligncenter\" src=\"https:\/\/www.sherweb.com\/blog\/wp-content\/uploads\/appointment-ribbon-300x25.png\" alt=\"\" width=\"432\" height=\"36\" srcset=\"\/blog\/wp-content\/uploads\/appointment-ribbon-300x25.png 300w, \/blog\/wp-content\/uploads\/appointment-ribbon-1024x85.png 1024w, \/blog\/wp-content\/uploads\/appointment-ribbon-768x64.png 768w, \/blog\/wp-content\/uploads\/appointment-ribbon.png 1270w\" sizes=\"auto, (max-width: 432px) 100vw, 432px\" \/><\/p>\n<p>3. Here you can invite other individuals to join by email, set reminders to yourself, mark your calendar as busy during the appointment, and categorize the appointment as you wish.<\/p>\n<p>Here is an example of inviting others to join. Outlook checked your availability and also inserted the appointment details into the email. When you invite others, you can designate them as required attendees, or they can attend if they wish (optional).<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"wp-image-21205 aligncenter\" src=\"https:\/\/www.sherweb.com\/blog\/wp-content\/uploads\/Invite-to-meeting-300x128.png\" alt=\"\" width=\"408\" height=\"174\" srcset=\"\/blog\/wp-content\/uploads\/Invite-to-meeting-300x128.png 300w, \/blog\/wp-content\/uploads\/Invite-to-meeting-1024x437.png 1024w, \/blog\/wp-content\/uploads\/Invite-to-meeting-768x328.png 768w, \/blog\/wp-content\/uploads\/Invite-to-meeting.png 1428w\" sizes=\"auto, (max-width: 408px) 100vw, 408px\" \/><\/p>\n<p>4. Once you have filled out the necessary information for the appointment, select Send.<\/p>\n<p>&nbsp;<\/p>\n<h2>Your Calendar page<\/h2>\n<p>So now that we have an appointment scheduled, let\u2019s talk more about the <strong>Calendar<\/strong> feature. Select the <strong>Calendar<\/strong> icon on the bottom left of Outlook:<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"wp-image-21206 aligncenter\" src=\"https:\/\/www.sherweb.com\/blog\/wp-content\/uploads\/calendar-icon.png\" alt=\"\" width=\"293\" height=\"49\" \/><\/p>\n<p>Here is a typical calendar page. It looks a bit complex, but we will go into further detail.<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"wp-image-21211 aligncenter\" src=\"https:\/\/www.sherweb.com\/blog\/wp-content\/uploads\/calendar-page-300x155.png\" alt=\"\" width=\"391\" height=\"202\" srcset=\"\/blog\/wp-content\/uploads\/calendar-page-300x155.png 300w, \/blog\/wp-content\/uploads\/calendar-page-1024x530.png 1024w, \/blog\/wp-content\/uploads\/calendar-page-768x397.png 768w, \/blog\/wp-content\/uploads\/calendar-page-1536x795.png 1536w, \/blog\/wp-content\/uploads\/calendar-page.png 1904w\" sizes=\"auto, (max-width: 391px) 100vw, 391px\" \/><\/p>\n<p>Let\u2019s start from the left pane.<\/p>\n<p>Outlook provides an interactive display of the current month and the next month. You can select the next and previous arrows to change the month. If you choose a specific day, the calendar view in the main window opens up to that date.<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"wp-image-21212 aligncenter\" src=\"https:\/\/www.sherweb.com\/blog\/wp-content\/uploads\/calendar-pane-167x300.png\" alt=\"\" width=\"193\" height=\"349\" \/><\/p>\n<p>This is a quick and easy way to check appointments or meetings for a specific day.<\/p>\n<p>Further down on the left pane are all the available calendars that you may view.<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"wp-image-21213 aligncenter\" src=\"https:\/\/www.sherweb.com\/blog\/wp-content\/uploads\/select-a-calendar-154x300.png\" alt=\"\" width=\"193\" height=\"376\" srcset=\"\/blog\/wp-content\/uploads\/select-a-calendar-154x300.png 154w, \/blog\/wp-content\/uploads\/select-a-calendar.png 239w\" sizes=\"auto, (max-width: 193px) 100vw, 193px\" \/><\/p>\n<p>You can view your calendars, those shared with others in your organization, calendars from outside the organization, and calendars created for groups you are in. When you select the checkbox for calendars, they display side-by-side for ease of viewing.<\/p>\n<p>If you do not wish to see the left pane, select the right arrow to hide it or the left arrow to show it.<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"size-full wp-image-21214 aligncenter\" src=\"https:\/\/www.sherweb.com\/blog\/wp-content\/uploads\/Hide-left-pane.png\" alt=\"\" width=\"213\" height=\"197\" \/><\/p>\n<p>You can also pin the left pane to display all the time if you choose.<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"size-full wp-image-21215 aligncenter\" src=\"https:\/\/www.sherweb.com\/blog\/wp-content\/uploads\/Pin-left-pane.png\" alt=\"\" width=\"236\" height=\"214\" \/><\/p>\n<p>&nbsp;<\/p>\n<h2>Calendar ribbon<\/h2>\n<p>Next, let\u2019s look at the Calendar ribbon:<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"wp-image-21216 aligncenter\" src=\"https:\/\/www.sherweb.com\/blog\/wp-content\/uploads\/Calendar-ribbon-300x9.png\" alt=\"\" width=\"501\" height=\"15\" srcset=\"\/blog\/wp-content\/uploads\/Calendar-ribbon-300x9.png 300w, \/blog\/wp-content\/uploads\/Calendar-ribbon-1024x31.png 1024w, \/blog\/wp-content\/uploads\/Calendar-ribbon-768x23.png 768w, \/blog\/wp-content\/uploads\/Calendar-ribbon.png 1336w\" sizes=\"auto, (max-width: 501px) 100vw, 501px\" \/><\/p>\n<p>The ribbon allows you to:<\/p>\n<ul>\n<li>Create new appointments, meetings, or Microsoft Teams meetings<\/li>\n<li>You can view your calendar in many ways:\n<ul>\n<li><strong>Today<\/strong> \u2013 highlights today no matter what other views may be displaying<\/li>\n<li><strong>Next 7 days<\/strong> \u2013 shows the next seven days<\/li>\n<li><strong>Day<\/strong> \u2013 shows today by the hour<\/li>\n<li><strong>Work Week<\/strong> \u2013 shows the days of the current workweek (no weekends)<\/li>\n<li><strong>Week<\/strong> \u2013 shows the days of the current seven-day week<\/li>\n<li><strong>Month<\/strong> \u2013 shows the days in a monthly view<\/li>\n<\/ul>\n<\/li>\n<li>Select the <strong>Schedule View<\/strong> to see your appointments day-by-day. Schedule View is an alternate method of viewing calendars that lets you easily see when events overlap and where there is free time between those calendars. Schedule view is especially helpful when planning meetings between multiple people.<\/li>\n<li>Create a blank calendar or share calendars from other sources like your list of contacts or the internet using the <strong>Add<\/strong><\/li>\n<li>Share your calendars with others using the <strong>Share<\/strong><\/li>\n<\/ul>\n<p>Below the Calendar ribbon is another row of options.<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"wp-image-21217 aligncenter\" src=\"https:\/\/www.sherweb.com\/blog\/wp-content\/uploads\/Other-calendar-information-300x26.png\" alt=\"\" width=\"450\" height=\"39\" srcset=\"\/blog\/wp-content\/uploads\/Other-calendar-information-300x26.png 300w, \/blog\/wp-content\/uploads\/Other-calendar-information.png 647w\" sizes=\"auto, (max-width: 450px) 100vw, 450px\" \/><\/p>\n<p>You can select the left or right arrows to have the previous or next month displayed in the main window.<\/p>\n<p>You can change the location by selecting the down arrow. In addition to changing the location and time zone, the weather displays for that location. That is helpful if your appointment or meeting is outdoors!<\/p>\n<p>&nbsp;<\/p>\n<h2>Adding events<\/h2>\n<p>So we have seen the many different ways you can view your calendar events. Outlook also makes it easy to create events \u201con the fly.\u201d<\/p>\n<p>Right-click on a day and the following drop-down list displays to let you enter a new event.<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"size-medium wp-image-21218 aligncenter\" src=\"https:\/\/www.sherweb.com\/blog\/wp-content\/uploads\/Adding-events-205x300.png\" alt=\"\" width=\"205\" height=\"300\" srcset=\"\/blog\/wp-content\/uploads\/Adding-events-205x300.png 205w, \/blog\/wp-content\/uploads\/Adding-events.png 241w\" sizes=\"auto, (max-width: 205px) 100vw, 205px\" \/><\/p>\n<p>&nbsp;<\/p>\n<h2>Searching<\/h2>\n<p>Beside this section is the Calendar Search text box.<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"wp-image-21219 aligncenter\" src=\"https:\/\/www.sherweb.com\/blog\/wp-content\/uploads\/Calendar-search-300x14.png\" alt=\"\" width=\"471\" height=\"22\" srcset=\"\/blog\/wp-content\/uploads\/Calendar-search-300x14.png 300w, \/blog\/wp-content\/uploads\/Calendar-search-1024x47.png 1024w, \/blog\/wp-content\/uploads\/Calendar-search-768x35.png 768w, \/blog\/wp-content\/uploads\/Calendar-search.png 1176w\" sizes=\"auto, (max-width: 471px) 100vw, 471px\" \/><\/p>\n<p>A calendar search looks in the following fields in the Events Details form:<\/p>\n<ul>\n<li>Subject<\/li>\n<li>Location<\/li>\n<li>Body (where you type notes)<\/li>\n<li>Attachments<\/li>\n<li>Organizer (who sent the invitation to a meeting)<\/li>\n<li>Attendees (people invited to a meeting)<\/li>\n<\/ul>\n<p>To search, enter your desired text. The results display:<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"wp-image-21220 aligncenter\" src=\"https:\/\/www.sherweb.com\/blog\/wp-content\/uploads\/Search-results-300x69.png\" alt=\"\" width=\"491\" height=\"113\" srcset=\"\/blog\/wp-content\/uploads\/Search-results-300x69.png 300w, \/blog\/wp-content\/uploads\/Search-results-1024x236.png 1024w, \/blog\/wp-content\/uploads\/Search-results-768x177.png 768w, \/blog\/wp-content\/uploads\/Search-results-1536x353.png 1536w, \/blog\/wp-content\/uploads\/Search-results.png 1865w\" sizes=\"auto, (max-width: 491px) 100vw, 491px\" \/><\/p>\n<p>As you can see, you can filter search text even further by selecting <strong>Keyword<\/strong>, <strong>Organizer<\/strong>, or <strong>Subject<\/strong> filters.<\/p>\n<p>In addition to showing the results, Calendar also displays a <strong>Search Tools<\/strong> ribbon.<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"wp-image-21221 aligncenter\" src=\"https:\/\/www.sherweb.com\/blog\/wp-content\/uploads\/search-tools-ribbon-300x25.png\" alt=\"\" width=\"492\" height=\"41\" srcset=\"\/blog\/wp-content\/uploads\/search-tools-ribbon-300x25.png 300w, \/blog\/wp-content\/uploads\/search-tools-ribbon-1024x85.png 1024w, \/blog\/wp-content\/uploads\/search-tools-ribbon-768x64.png 768w, \/blog\/wp-content\/uploads\/search-tools-ribbon.png 1241w\" sizes=\"auto, (max-width: 492px) 100vw, 492px\" \/><\/p>\n<p>The first drop-down list lets you choose which folders to review, such as the <strong>All Calendar Items<\/strong>, <strong>Current<\/strong> <strong>Folder<\/strong>, <strong>Subfolder<\/strong>, or <strong>All Outlook Items<\/strong>.<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"wp-image-21222 aligncenter\" src=\"https:\/\/www.sherweb.com\/blog\/wp-content\/uploads\/drop-down.png\" alt=\"\" width=\"162\" height=\"155\" \/><\/p>\n<p>Other ways to filter include:<\/p>\n<ul>\n<li>By Organizer<\/li>\n<li>By Subject<\/li>\n<li>Has Attachments<\/li>\n<li>By Category<\/li>\n<\/ul>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"wp-image-21223 aligncenter\" src=\"https:\/\/www.sherweb.com\/blog\/wp-content\/uploads\/calendar-categories.png\" alt=\"\" width=\"206\" height=\"420\" \/><\/p>\n<p>Status of Requests, for example, <strong>Accepted Appointments<\/strong>, <strong>Tentative Appointments<\/strong>, or <strong>Requests Not Responded To<\/strong>.<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"size-full wp-image-21224 aligncenter\" src=\"https:\/\/www.sherweb.com\/blog\/wp-content\/uploads\/Status-of-request.png\" alt=\"\" width=\"227\" height=\"122\" \/><\/p>\n<p>You can view recent searches by selecting the Recent Searches drop-down list.
