{"id":9247,"date":"2017-03-23T15:27:54","date_gmt":"2017-03-23T19:27:54","guid":{"rendered":"http:\/\/www.sherweb.com\/blog\/?p=9247"},"modified":"2018-01-31T14:18:52","modified_gmt":"2018-01-31T19:18:52","slug":"dynamics-365-access-owner-teams","status":"publish","type":"post","link":"https:\/\/www.sherweb.com\/blog\/microsoft-ecosystem\/dynamics-365\/dynamics-365-access-owner-teams\/","title":{"rendered":"Do you know the difference between Dynamics Access and Owner Teams?"},"content":{"rendered":"<h3>Definition:<\/h3>\n<h5>Teams in Dynamics CRM puts a set of users in one group sharing a set of permissions.<\/h5>\n<p>With teams, you can <strong>easily share business objects and collaborate with users across multiple business units<\/strong> in the organization. <em>A team belongs to a business unit.<\/em><\/p>\n<p>&nbsp;<\/p>\n<h3><a href=\"https:\/\/info.sherweb.com\/How-to-Run-a-Successful-Business-with-Dynamics-365.html\" class=\"blog-cta-click\" target=\"_blank\" rel=\"noopener\">Click here to download our free ebook on Dynamics 365 and get answers to your questions!<\/a><\/h3>\n<p>&nbsp;<\/p>\n<p>However, <strong>users from different business units can be in a group<\/strong>, and <strong>a user can be a part of multiple teams at a time<\/strong>.<\/p>\n<h3>What you must know about Owner Teams and Access Teams?<\/h3>\n<h6><\/h6>\n<p>&nbsp;<\/p>\n<h4>Owner Teams can own records and security roles assigned to the team.<\/h4>\n<p>The team\u2019s privileges are defined in the security roles assigned to it. Plus, <strong>every team member has his\/her own security roles and the security roles assigned to the teams <\/strong>they are part of. An <strong>owner team has the full privileges on the records they own<\/strong>.<\/p>\n<h6><\/h6>\n<h6><\/h6>\n<h4>Access Teams cannot own records, and no security roles can be assigned to these teams.<\/h4>\n<p>The records can be shared with an access team; therefore, the <strong>team is granted access rights to the shared records such as Read, Write, and Append.<\/strong><\/p>\n<h3>Top 6 scenarios to help identify when to use each team:<\/h3>\n<h5>Owner Teams:<\/h5>\n<ul>\n<li>The company wants to let a group of <strong>users or teams own entity records<\/strong>.<\/li>\n<li>The manager requires teams to <strong>report results daily<\/strong>.<\/li>\n<li><strong>Team members are equally given access rights<\/strong>, there is no variation between any two users.<\/li>\n<\/ul>\n<h5>Access Teams:<\/h5>\n<ul>\n<li>The manager wants to give a team <strong>access rights to records without owning them<\/strong>.<\/li>\n<li>You want to <strong>grant multiple teams different access rights to the same records<\/strong>, for example: <em>Team A has Read access right to a specific record, while Team B has Write and Append access rights to the same record.<\/em><\/li>\n<li>If you want to <strong>add team members to a team from different business units<\/strong>.<\/li>\n<\/ul>\n<h3>Two types of Access Teams:<\/h3>\n<ul>\n<li>\n<h5>User-Created Access Teams<\/h5>\n<p>By using the Team entity and by setting the Team type to Access, <strong>you can share multiple records with user-created teams<\/strong>, provide team members with <strong>different access rights to the records<\/strong>, <strong>create several teams<\/strong>, and grant each team a<strong> different set of access rights<\/strong>.<\/li>\n<li>\n<h4>Auto-Created Access Teams<\/h4>\n<h6><strong>Created for a specific record and can\u2019t be shared for other records.<\/strong><\/h6>\n<p>To create an auto-created access team <strong>you have to use a team template<\/strong>. You can create team templates by using team template entity.
